Meet Interlochen Center for the Arts
Since 1928, Interlochen has offered an immersive arts experience that fosters a sense of closeness discovered only through a deep, shared appreciation. Generations of artists and arts enthusiasts have experienced the special and intangible magic that transpires on Interlochen’s beautiful campus, nestled between two pristine lakes and surrounded by quiet pines in northwest Michigan.
The Challenge
Interlochen Center for the Arts provides artistic training for thousands of young artists each year. Its two residential programs are Interlochen Arts Academy, a year-round boarding arts high school, and Interlochen Arts Camp, a summer program for grades 3-12.
Prior to 2017, Interlochen was similar to many youth-serving organizations when it came to managing student and participant health. Medication administration was tracked on paper, which was time consuming and made it difficult to gain insight into which participants needed what medication, and when. “Medication dispensing was a huge challenge,” said Jared Gugnitz, IT Project Manager and a proponent for a more robust solution. “Students would frequently forget to come for their medications.”
Paper records also hampered the ability to properly track injuries and illnesses. “In northern Michigan, we have harsh winters, so students can be extra susceptible to getting sick, and can get injured from simply slipping and falling,” said Corey Hill, Director of Health Services. “We had to modernize to ensure the health and safety of the children attending our programs.”
The Solution
Why SchoolDoc?
After evaluating a number of options, Interlochen selected SchoolDoc as its Electronic Health Record (EHR). Staff no longer need to rely on handwritten instructions when dispensing medications to the students who require them — nearly 30% of enrolled students. The Electronic Medication Administration Record (eMAR) helps minimize the potential for human error, and even alerts staff electronically if a medication is missed.
With the help of the Health Log from SchoolDoc, staff at Interlochen can record clinic visits more efficiently. The accessible data provides valuable insights to leadership. “Having a centralized database for students and campers and being able to share that information with the entire team, is very valuable,” Hill said. “If a student has to go to the emergency room, having instant access to their medical history is essential.”
As an added bonus, Interlochen has built a direct integration with Salesforce that allows student and camper data to sync through an API. “What cemented our decision was the API that lets us send student and parent information to SchoolDoc without having to manually upload data,” Gugnitz said. “Data syncs in real time. There’s no waiting for a nightly batch of files that our team would need to process.”
